The 5 mistakes we see time and again
1. Assuming council approvals will be quick
Local council approval is usually the first thing that catches people out. Between development applications, structural reports, and council assessments, this stage can stretch out to months.
We start conversations with council early, often before anything is formally lodged, so we know upfront what’s likely to raise questions. For anything with environmental overlays, we’ll usually recommend a town planning consultant too. It’s a small cost against the months it can save in back-and-forth later.
2. Budgeting for just the house build, not the whole project
Site works, hazardous material removal, unexpected soil conditions, utility relocation, demolition, these all add on top of what the new house itself costs. A lot of people budget for “the house” and get caught out when the full project cost comes in higher.
We give clients an itemised breakdown before they commit: demolition, site prep, foundations, contingency, all separated out rather than bundled into one number. We also build in a contingency of 10 to 15 percent above the base budget, because soil conditions vary a lot between areas, and it’s better to plan for that than be surprised by it.
3. Underestimating how long the whole process takes
Weather affects site works and foundations, especially through the wetter months on the Coast. Materials get delayed, and council inspections get booked out further than expected. It’s easy to end up living in temporary arrangements much longer than planned.
We build a realistic schedule from the start, with buffer time for permits, weather, and inspections already factored in rather than added later as an excuse. We also order items with longer lead times like windows and custom fixtures, well ahead of when they’re needed, since material delays are one of the most common causes of a project running over.
4. Forgetting your neighbours are part of the project too
Demolition is loud and dusty, and it disrupts the street for longer than people expect. Site traffic, machinery noise, restricted parking, all of it affects the people living around you. Left unmanaged, this can turn into noise complaints or formal disputes that slow the project down.
We encourage clients to notify neighbours early, a simple letter outlining the timeline and what to expect goes a long way. We stick closely to council working hours and noise limits, and manage site fencing, dust, and erosion control properly, which keeps things running smoothly for everyone on the street, not just the build.
5. Not understanding how variations work
Almost every build has variations, changes to the original plan once construction is underway. The problem isn’t that they happen, it’s that people don’t realise how they affect costs and timeline.

Any change gets costed and put in writing before we proceed, covering both the price and how it shifts the schedule. We’d rather have that conversation upfront than let a small change turn into a dispute over cost later. Detailed documentation from the start, plans, specifications, material samples, finishes, keeps variations to a minimum in the first place, since there’s less left undecided once building begins.
